Safety Programs and Required Plans
- Injury and Illness Prevention Program
Outlines the department’s comprehensive safety program—including responsibilities, communication systems, hazard identification, inspections, training, and required documentation—to ensure compliance with UC Davis policy and California safety regulations. - Emergency Action Plan
Provides the department’s procedures for reporting emergencies, evacuation, communication, and employee responsibilities during incidents, ensuring compliance with Cal/OSHA requirements and UC Davis safety protocols.

Labratory and Research Safety
The Department of Evolution and Ecology is committed to maintaining safe research, teaching, and office environments. All faculty, staff, postdoctoral scholars, students, and other personnel working in department spaces are responsible for completing required safety training and following UC Davis and departmental safety procedures.
Safety Requirements for All Research and Office Spaces
All department workspaces—including laboratories, offices, and shared research areas—must maintain current safety documentation and ensure that personnel receive appropriate safety training.
Faculty, supervisors, and laboratory managers are responsible for:
- Maintaining current copies of the department Emergency Action Plan (EAP) and Injury and Illness Prevention Program (IIPP).
- Providing safety orientation for all new personnel before work begins.
- Conducting and documenting required annual safety training and reviews.
- Completing required workplace inspections and correcting identified hazards.
- Maintaining training records in accordance with university requirements.
Personnel should be familiar with:
- Emergency procedures and evacuation routes
- The location of first aid supplies, fire extinguishers, spill response materials, and other emergency equipment
- Procedures for reporting injuries, accidents, and unsafe conditions
Additional Requirements for Chemical Laboratories
Research laboratories that use hazardous chemicals must comply with additional UC Davis Environmental Health & Safety (EH&S) requirements.
These include:
- Completion of required UC Laboratory Safety Fundamentals training and refresher courses.
- Maintaining a current Laboratory Hazard Assessment Tool (LHAT) roster and personal protective equipment (PPE) assessments.
- Completing site-specific laboratory safety orientation before new personnel begin laboratory work.
- Maintaining a current Chemical Hygiene Plan (CHP), including laboratory Standard Operating Procedures (SOPs).
- Keeping an up-to-date chemical inventory through the campus Chemical Inventory System (CIS).
- Providing laboratory personnel with access to Safety Data Sheets (SDS) and the UC Davis Laboratory Safety Manual.
Laboratory personnel should review required safety documentation annually and whenever new hazards or procedures are introduced.

Creating Reports in AggieExpense
Before You Begin
Log in to AggieExpense:
- Through SAP Concur
- Or through the UC Davis Supply Chain Travel and Entertainment website.
Before creating your report, determine whether either of these applies to you:
Creating a report for a non-employee?
First create a non-employee profile in AggieExpense using the campus instructions: AggieExpense: Non-Employee Set Up, Reservations, and Expense Reconciliation.
Creating a report for someone else?
Act as their delegate before continuing:
- Click your initials.
- Select Act as Another User.
- Choose A Delegate for another user who has granted you this permission.
- Search for and select the user.
- Click Switch.
Step 1: Create a New Report
- Go to Expense Reports and click +.
- Complete the report fields:

| Policy | Use T&E/Prof Expenses for travel, moving, entertainment and professional expenses. Use PCard only for Procurement Card reconciliations. |
| Report Type | Select the appropriate option. |
| Report Name | Example: D. Davidson – Meeting – 9/26/24 |
| Business Purpose | Clearly explain how the activity supports teaching, research, patient care, or public service. The Supply Chain website has example Business Purposes for reference. |
| Required Fields | Complete all fields marked with an asterisk. |
Click Create Report.
Step 2: Add Expenses
Click Add Expense.
UC Travel Card, CTS, or Imported Expenses
Choose expenses from the Available Expenses tab.
Out-of-Pocket Expenses
Use Manually Create Expense and choose the appropriate expense type.

Complete all required fields.
Step 3: Upload Receipts
Choose the method that applies to you.
Option A: SAP Concur Mobile App
- Open the app.
- Tap the camera.
- Photograph the receipt.
- Tap Use.
- Open the expense.
- Select Add Receipt.
- Choose Available Receipt.
- Attach the uploaded receipt.
Option B: Web Browser
Requirements:
- Receipts must be PDF files.
Steps:
- Open the expense.
- Click Add Receipt.
- Upload a new PDF or attach an existing receipt.
- Add or remove attachments as needed.
- Save the expense.
Step 4: Add the Allocation
Students and lab members: You must have approval to use the account entered. Upload proof of approval (email or screenshot) with one expense receipt.
- Select the expenses.
- Click Allocate.
- Enter the Aggie Enterprise String.
- For PPM projects, complete only the required fields.
- Click Save.

Step 5: Add an Extra Approver
If your report requires an additional departmental review:
- Open the report.
- Go to Report Details → Report Timeline.
- Under Approval Flow, click Edit.
- Click the ellipsis next to Fiscal Officer Review.
- Select Add above this step.
- Search for Nicholas Enos.
Temporary routing: From August 3–17, 2026, route reports to Kayla DeGuzman (kdeguz) instead.
Click Save.
Optional: Non-Employee Certification
Only required for reports submitted on behalf of non-employees.
- Select Print/Share.
- Choose Non-Employee Certification.
- Save as a PDF.
- Send it to the non-employee for signature.
- Upload the signed PDF as a receipt.
Step 6: Submit the Report
Submit the report.
The report will route through:
- Account approval
- Employee approval
- Travel Department policy review
- Payment processing
